Project Officer

We are looking for a highly organised, responsive, and energetic Project Officer to join our organisation.

Initially working on our Move Mates project, you will ensure that this project runs smoothly and efficiently by processing volunteer applications, responding to requests from referral partners and responding to enquiries over telephone and email.

 

This is primarily an administrative role and will suit a proactive multi-tasker who can switch between different tasks whilst staying focused on those small details. We want someone who is keen to learn and will take a proactive approach to understand new systems, we welcome suggestions for improvements to our processes too.

 

The successful candidate will have a high standard of written English and excellent written and verbal communication skills. In this role you will be regularly communicating with a wide range of people from different backgrounds, we are looking for someone with empathy and compassion but who can also maintain boundaries with their time and prioritise their workload.

 

Most importantly, you will be someone who likes being busy and is passionate about volunteering and encouraging people to be physically active.

 

This is a full-time post; we are open to job share applications or a combination of part-time staff to fulfil the role.

The Basics

 

Hours: 37.5 hours per week

 

Term: 6 months fixed-term contract

 

Salary: £20,500 – £22,000 dependent on experience

 

Based: Primarily home-based. You will need to be flexible to attend co-working days, meetings and community events in York.

 

Your Responsibilities 

 

Administering the day-to-day operations of Move Mates, including:

 

Coordinating and listing tasks for Volunteer Administrators, ensuring all tasks are completed accurately and within a set timeframe.

 

Organising and monitoring the timetable for Volunteer Administrators.

 

Responding to enquiries received by phone, email and post.

 

Processing volunteer applications and conducting volunteer inductions when required.

 

Processing referrals, sending letters, welcome packs and information to beneficiaries.

 

Updating records in our database accurately.

 

Ensuring resources and materials are stocked and distributing these to other Move Mate projects or community groups when required.

 

Assisting with other administrative tasks as required by the organisation.

 

Working with colleagues to give input to external communications including newsletters and marketing resources.

 

Person Specification

Essential

 

Minimum age 18.

 

Experience in an administrative role.

 

Excellent written and verbal communication skills. 

 

Confident to speak with a range of people on the telephone.

 

Fully computer literate and competent using Google Drive.

 

Passionate about volunteering, physical activity, health and wellbeing.

 

Good understanding and willingness to learn about Move the Masses projects.

 

Desirable

 

Understanding of mental health conditions.

 

Experience of coordinating volunteers.

 

Experience of using Airtable.

 

Specific experience in the charity sector.
